This was our third workshop that we’ve delivered together. At this point, it had the comfort - and the benefits - of a routine.

You know how it can go with new clients though. It’s professional, measured, and maybe even cautionary. Speaking to a third-time? That is different. It feels like walking into a conversation already in progress. Like calling an old friend.

The Client

Hypatos is an AI-driven SaaS company helping businesses automate document-heavy back-office work — from invoices to contracts — removing manual processes entirely.

Their team is global by design. While headquarters remain in Germany, employees work across Spain, Thailand, Egypt, and beyond.

Which means most collaboration happens through screens.

As their VP of People put it:

“Without these meetings, we’re just a bunch of people talking over our computers.”

The company had last gathered for a full retreat in 2022. Three years later, leadership knew it was time to bring everyone back together — not just to work, but to reconnect as people (And to party!). 

The Brief

Unlike many offsites focused heavily on strategy or workshops, Hypatos wanted something simpler — and harder to get right.

They wanted the team together. In warmth. At the end of the year.

The goal was equal parts collaboration and celebration: work sessions, shared activities, and space to socialize naturally. But… planning internationally had proven difficult before.

Previous retreats organized internally required coordinating unfamiliar suppliers, navigating cultural differences, and making decisions about venues they had never seen in person.

“We tried to do it alone and it was very challenging… not being there at the location, not seeing it — that was difficult for us.”

This time, they wanted local expertise and confidence that everything would run smoothly.

“It was a very good feeling to know we were in someone’s hands that knows what they’re doing.”

Success meant creating an experience where logistics disappeared into the background — allowing the team to focus entirely on being together.

The Retreat — The Journey

A Winter Arrival in Southern Spain

The retreat took place in Mijas, just outside Málaga, where hillside views stretch down toward the Mediterranean coast.

For a team arriving largely from northern Europe in December, the contrast was immediate.

“It’s really nice to come from Berlin to Málaga and see sun — and have light until 6 PM. That’s something we’re not used to.”

The warmer setting wasn’t accidental. Hypatos specifically wanted a winter destination that felt energizing rather than seasonal slowdown.

While structured moments existed — including a group trip into Málaga, team-building activities, shared dinners, and coordinated transfers — participation unfolded organically. Some team members followed the schedule closely; others gravitated toward downtime. The flexibility worked.

Instead of forcing interaction, the environment allowed relationships to rebuild naturally after years of remote collaboration.

“It’s an opportunity for people to really socialize, get together, and work together in person. People really, really appreciate that.”

The Winter Party

Every Hypatos retreat has one non-negotiable element:

“Usually we have the main event — the big party. Open bar, food, DJ, all the shebang. This is a must-have.”

The closing celebration became the emotional peak of the week — bringing the entire company together in a shared moment that balanced fun, reflection, and connection.

After days of meetings, conversations, and shared experiences, the party marked the transition from colleagues reconnecting to a team celebrating itself.
