OnsiteHub ("we", "us", "our") plans and delivers corporate team retreats. This policy explains how we collect, use, and protect personal data when you visit onsitehub.eu, download our resources, enquire about our services, or work with us.

What data we collect
Information you give us directly:
- Contact details (name, email, company, job title) when you submit a form, download a resource, or enquire about a retreat
- Communications you send us (emails, messages, call notes)
- Information needed to plan a retreat you engage us for (attendee lists, dietary requirements, travel details, and similar), where you provide it
Information we collect automatically:
- Website usage data via analytics (pages visited, time on site, approximate location, device and browser type) through Google Analytics
- Advertising and retargeting data through the LinkedIn Insight Tag, where you have consented to advertising cookies
Information from third parties:
- Publicly available professional information (for example, from LinkedIn or company websites) used to identify companies and roles that may benefit from our services
How we use your data, and our legal basis
Under GDPR we must have a lawful basis for each use. We rely on the following:
- To deliver services you engage us for — basis: performance of a contract
- To respond to enquiries and provide requested resources — basis: legitimate interests (responding to your request) or steps prior to a contract
- To send you marketing emails — basis: consent, which you give when you opt in, and can withdraw at any time
- To improve our website and understand how it's used — basis: consent (analytics cookies) or legitimate interests, as applicable
- For advertising and retargeting — basis: consent (advertising cookies)
- For business development outreach to companies that fit our services — basis: legitimate interests, balanced against the recipient's rights, with an opt-out in every message

We use cookies and similar technologies. Non-essential cookies (analytics and advertising) are only set after you consent through our cookie banner. You can change or withdraw your cookie choices at any time.

- Advertising cookies: LinkedIn Insight Tag, for measurement and retargeting
Who we share data with
We do not sell your personal data. We share it only with:
- Service providers who process data on our behalf, under data processing agreements, including: Mailchimp (email), Coda (CRM), Webflow (website), Zapier (integrations), Google (analytics), LinkedIn (advertising), Quickmail (outreach).
- Retreat suppliers (venues, transport, caterers) where necessary to deliver a retreat you have engaged us for, sharing only what is needed
- Authorities or advisors where required by law
International transfers: Some providers are outside the EU/EEA (for example, US-based tools). Where data is transferred internationally, we rely on appropriate safeguards such as Standard Contractual Clauses or an adequacy decision.
How long we keep data
We keep personal data only as long as necessary:
- Enquiry and marketing data: until you unsubscribe
- Client and project data: for the duration of our relationship
- Analytics data: per the retention set in our analytics tools
Your rights
Under GDPR you have the right to: access your data, correct it, erase it, restrict or object to processing, data portability, and to withdraw consent at any time. You also have the right to lodge a complaint with a supervisory authority.
As we are established in the Czech Republic, our supervisory authority is the Office for the Personal Data Protection (Úřad pro ochranu osobních údajů, ÚOOÚ).

Marketing
When you opt in to our emails, we send you occasional updates. Every email includes an unsubscribe link, and you can opt out at any time. Unsubscribing does not affect any retreat we are delivering for you.
Changes to this policy
We may update this policy. The "last updated" date shows the latest version. Material changes will be communicated where appropriate.
